Email Marketing for Whop Communities: A Practical Playbook

How to use email alongside your Whop community: what to send, when to send it, and which Whop events should trigger each message.

A red-orange envelope in the middle of a ring of cream envelopes

A Whop community lives inside the Whop app, Discord or wherever your chat happens. That is great for engagement, but it is a weak channel for anything time-sensitive. Notifications get muted, channels get busy, and members who drift away stop opening the app at all. Email reaches them in a place they check every day, and it is the one channel you fully own.

This playbook covers what to send, when, and how to connect each email to what is happening on Whop.

Why email still matters when you already have a community

  • Members who need you most are the least active. Someone who has not opened your whop in two weeks will not see your announcement. They might see an email.
  • Payments happen outside the chat. Renewals, failed cards and cancellations are billing events. Members expect to hear about those by email.
  • You own the list. Platforms change their rules and their feeds. A list of people who agreed to hear from you moves with you.

The five flows every Whop community should have

1. Welcome (trigger: new member)

Send within minutes of joining. Tell them exactly where to go first, what to do in the first day, and how to get help. A single clear first step beats a tour of every channel. Our 7-day welcome email sequence gives you a ready structure.

2. Activation nudge (trigger: no activity after a few days)

If a new member has not posted, watched a lesson or claimed their Discord role, send one short email that removes the friction. Link straight to the one thing that delivers value fastest.

3. Failed payment (trigger: payment fails)

When a renewal fails, Whop marks the membership past due, emails the customer and retries over five days before cancelling. Your own email, written in your voice, adds a second reminder from someone the member actually knows. See Whop failed payments and cancellations.

4. Cancellation save (trigger: member cancels)

A cancelled membership usually keeps access until the end of the billing period. That window is your chance to ask why, offer a pause, or point to the part of the community they never used. Keep it honest and short.

5. Win-back (trigger: membership ended)

A few weeks after access ends, send what changed since they left. If you offer a discount, Whop promo codes can be limited to churned users only, so new buyers do not see it. Templates are in our win-back email flow.

A simple weekly rhythm

Beyond automated flows, one regular email keeps members connected:

  • What happened this week: best posts, wins from members, new content.
  • What is coming: calls, launches, deadlines.
  • One ask: reply, join a call, try a lesson. One, not five.

Send it on the same day each week. Consistency matters more than length.

Segment by what people bought

Whop already knows which product and plan each member is on. Use it. Monthly members get renewal reminders, lifetime buyers do not. Members of your entry product get an upgrade path, and members of your top tier get early access instead of a pitch. Our email segmentation guide goes deeper.

Getting your members into email

You can export members from the Whop dashboard as a CSV, but a one-time file goes stale fast. How to export your Whop members' emails compares the CSV, the API and a live sync.

WhopMail connects to Whop directly, so new members, payments, failed payments, cancellations and renewals can each start a flow without exports or code. Members can also buy, keep or pause a membership from inside the email itself. Whop featured the app on its own blog when it launched under its earlier name, EmailSync: EmailSync: the new way to create email campaigns for creators.

Deliverability basics

Community emails are only useful if they land in the inbox. Send from your own domain, authenticate it with SPF, DKIM and DMARC, and remove people who never open. Gmail and Yahoo require bulk senders to authenticate and to offer one-click unsubscribe. Our email deliverability checklist walks through it.

Where checkout fits in

Email brings members back. The checkout is where they decide how much to spend. Our sister product OneClick Upsell adds order bumps and post-purchase upsells to Whop checkout, so a new member can add a course or coaching call in one click.
